What this policy covers
 

HOLLAS' updated Privacy Policy reflects our commitments and obligations under the European Union (EU)’s new General Data Protection Regulation (GDPR).

Your privacy is important to us, and the goal of our updated Privacy Policy is to be transparent about what information we collect, use, and share.

This policy explains your rights with regard to that information. It also explains how to access and update your information, and how you can object to its use. When we refer to “HOLLAS”, “we”, or “us”, we mean the HOLLAS Consulting entity that acts as the processor of your information.

What information we collect and how we use it


HOLLAS collects the following information about our clients and their customers when you provide it to us and use our services:

Client and Customer Information
Through our engagement, we may collect some or all of the following: client names, emails, addresses, company information, customer information, financial data, product and service data, and proprietary information related to sales and marketing strategies. We use this information to identify your customers, communicate with you and your customers, and provide information related to our (or your) products and services. We also use this contact information for accounting and administrative purposes.

Client Content
Depending on our work with you, we may store certain data you create or manage, and certain content you create, send, receive, and share, such as images, icons, or logos. This may also include include comments posted to your projects by you, your team members, and your collaborators. We will always aim to securely store your work, and provide access to your team members and the collaborators you designate.

Payment Information
HOLLAS clients usually provide us, or our payment processors, with billing details such as credit or debit card information, banking information, and billing addresses. When you use of our payment processors, we receive only some of that information, and we don’t store any of our clients’ financial information on our servers or computers. We only use your payment information in order to fulfill, track, and manage invoices.

Site Metadata
When you access HOLLAS' site or reach out to contact us, certain metadata may be generated automatically. This data provides us with information about how you browse our website and seek our services, and includes the links you click, the search terms you use, and the features you access. We use this to help us understand how our clients work, and what they find most valuable. We also use this information to measure the efficiency of our site, enhance our services and guide future decisions.

Support
If you need to reach us, you may contact our team at any time through our site (https://www.hollasconsulting.com/contact). The information you provide to our team may be saved as part of your support history. We use this information to resolve any issues you are having, relay feedback to our team, respond to your comments and requests, and confirm your account details. We also use this data to provide you with important account alerts and billing notices.

Cookies
HOLLAS and our third-party advertising and analytics partners use cookies and similar technologies for tracking across different devices, websites and online services. We may use this information both for secure authentication and for the maintenance of your accounts. Our third-party partners use cookies for the purposes of marketing, ad targeting, and performance analytics.

Integrations and Linked Services


HOLLAS offers integrations with a number of third-party services. For instance, we regularly use Salesforce services to manage client customer data and CRM resources, HubSpot for sales and marketing, and Callrail to manage inbound caller information.

 

Whenever we link to one of these third-party services, for HOLLAS or on behalf of our clients, we are authorized to connect and transfer information as specified by our agreement with that linked service. We use this information to aggregate, authenticate, connect, and link inbound leads and existing customers with the services they need.

 

To understand what data may be shared when we use these integrations, please check the settings, permissions and privacy policies of the applicable third-party service (we have provided a full list, below).

How we share information


Sharing With Third Parties
HOLLAS clients, and our team members working on their behalf, regularly create and share sensitive and proprietary data in order to meet sales and marketing goals. We appreciate our clients’ need for privacy, and will never use such data for purposes other than those specifically authorized by each client. No matter what HOLLAS service plan you choose, we will never sell information about you, your profile, your projects, nor your data and metadata, to other companies or third parties.

Sharing With Your Team
HOLLAS works in a highly collaborative manner with clients and their data. You know your team better than anyone, so while we design our offerings to let you share and disseminate your work (including sales and marketing campaigns and CRM data), we expect our clients to manage data access and control internally. Of course, you are free to invite your team to view, download, or edit data in real time, depending on your needs. You may also grant your team members data access rights that are equal across the team or restricted to certain access and data modification. Most of these settings will be controlled directly by our clients through the third-party services we employ, but you can always inform your HOLLAS team member of a need to change access and communication with your internal team. We’re here to help.

Blogs and Forums
Depending on our clients’ needs, HOLLAS may assist in strategic contributions to blogs and forums on their behalf. Publicly accessible blogs and community forums are accessible by nearly anyone, and contributions to public platforms may be read, collected and used for purposes outside of our control. Nonetheless, we will work with clients to modify or remove posts and contributions upon request, when possible.

Testimonials and Case Studies
We might contact you with a request to provide information that would appear as a testimonial or case study on our blog and/or website. In this case, we would seek explicit, written consent to use this information.

Social Media Links and Third-Party Widgets
Some HOLLAS services include social media links and widgets. In order to function properly, these features may set a cookie that records the page from which customers engaged them, as well as their IP address. These features may also link to other websites or services whose privacy policies differ from one another. As a result, any information provided to them will be governed by their policies, not this one.

Third-Party App Integrations
HOLLAS often maximizes the value of customer data for our clients by enabling third-party apps and integrations to connect through client accounts. Once enabled, HOLLAS may share information with those services in order to fine-tune the results of our sales and marketing efforts. However, we do not control the way in which these services collect, share, or use information. Thus, we ask that our clients review the privacy policies of all third-party services used internally or at their request.

Legal Compliance and Fraud Prevention
In exceptional circumstances, we may disclose information about you to a third party if we receive a request and believe that the disclosure is in accordance with or required by any applicable law, rule or regulation, legal process, or enforceable governmental request. We may also do so to enforce contractual obligations, investigate potential violations, prevent and detect fraud, track and solve security or technical issues, and protect against any harm to the rights, property or safety of HOLLAS, its employees, affiliates and its authorized agents, as required or permitted by law.

Changes in Business
If HOLLAS engages in a merger, acquisition, reorganization, bankruptcy, dissolution, sale of company assets, financing, public offering of securities, or due diligence and other steps in contemplation and negotiation of such activities, we may share or transfer information that we collect under this privacy policy, subject to standard confidentiality agreements.

How we store, secure, and transfer information


Third Party Service Providers
HOLLAS regularly contracts with third party service providers. These services may require access to your information in order to help us operate, market, and support our services. For example, HOLLAS uses third party services to provide CRM services, inbound lead management, payment processing, customer support, data analytics, advertising, marketing, and other services. Our contracts with these services provide for the maintenance, confidentiality, security, and integrity of the information we share.

Data Security
HOLLAS takes data security very seriously and implements best practices and policies for ongoing industry compliance. We take all reasonable measures to protect your information, and to prevent any kind of unauthorized access, misuse, loss, or disclosure.

The third-party service providers that we use for infrastructure and payment processing are PCI compliant, and adhere to the same privacy and security principles as we do.

 

We conduct regular security audits, and may also participate in voluntary penetration tests performed by third parties. Such a test will in each case be followed by concrete, internal security policy updates and actionable items for our team. When possible, your data is also stored in anonymised form. While no system is infallible, we strive to keep our systems secure and constantly updated.

Data Retention
HOLLAS stores relevant client and customer information for as long as your account is active, and for a reasonable period thereafter, in case you decide to use our services again. We may also retain certain information for as long as necessary in order to support business operations, or as required by law, but generally do not store, keep, or use any sensitive or proprietary client data or information once your account is closed.

International Data Transfers
HOLLAS collects information internationally, and uses hosting and cloud computing infrastructure located primarily in the United States to transfer, process and store information. In order to provide clients with the services they need, we may also transfer their data to third-party services. Please refer to the List of data sub-processors, below, for information about why we use third-party services, and where they are located.

Your data rights and choices


The following is a summary of choices you can make to exercise your data rights:

Opt Out of Promotional Communications
You have the right to opt out of receiving any promotional communication. To unsubscribe from any HOLLAS correspondence or promotional emails, use the link at the bottom of the applicable message. You can also contact us directly to have your information removed from our contact list. Please note that, even if you unsubscribe, you will continue to receive non-promotional, transactional messages regarding your account and other essential services, as applicable.

Access and Update Personal Information
You have the right to access and edit your client profile and billing information at any time. You also have the right to rectification in case your data is incomplete or inaccurate. To update your information, please contact our team.

Right to be Forgotten
You have the “right to be forgotten” which means that, at any time, you can request that HOLLAS permanently deletes all applicable data records, including your customer profile information and financial data, along with any user-created content for closed client accounts. In some cases, we may need to retain partial information to fulfil our legal responsibilities, or to complete ongoing financial transactions.

Data Portability
You have the right, at any time, to request and receive the information that you have provided to HOLLAS. We will provide you with your information in the most convenient format we can, so that you can make use of it in other contexts, or with other service providers.

Access Under 16 Years of Age
HOLLAS does not knowingly collect personal information from individuals under 16 years of age, unless consent is given or authorised by the holder of parental responsibility over the child. If we become aware that someone under 16 has provided personal information in an unauthorized or unwanted manner, we will take steps to delete such information from client databases. We also ask our clients to make us aware when they have received personally-identifiable information from users or customers under the age of 16.

Request That We Stop Using Your Information
Even if you have previously consented to our Terms of Service and Privacy Policy, you have the right, at any time, to change your mind and object to the collection, use, and processing of certain kinds of information. However, we require certain information in order to provide you with our services. If you disagree with the terms of our Privacy Policy or the terms of the service agreement applicable to your account, please contact us so that we may handle the situation appropriately.
